With numerous people throughout the company, each needing to stay apprised of various plans and policies, AOL Partner Marketing sought out a system to connect its departments and partners in a secure Web-based environment.
Keeping in Touch
AOL PM came to Brook Group in need of a platform for sharing collections of images, content and other marketing assets among their own staff, and among a large set of external partners: an intranet and an extranet. Their most important priority was a content management toolset that did not require the users to have programming skills.
Brook Group designed a simple and elegant user interface that required just five templates for the AOL PM team and their partners to use. On the back end, Brook Group deployed their award-winning content management system, Tacklebox, which made maintaining AOL PM’s content easy, and provided a non-techie interface for AOL PM to set up password-protected extranet sites for each partner.
Tacklebox allows AOL PM to add, change and share content related to all partners without learning HTML, and it allowed AOL Partners access that was limited to their extranet sites, where they could upload their content on their own, without the assistance of an internal producer. This made partners happy, as they were in control of their own assets, and the PM team could focus on what is it that they do best.
The Results Are In
As AOL PM’s first-ever consistent internal communications tool to share information, this project provided a central storehouse for partner marketing collateral.
This system allows staff to connect with partners and each other where information can be published easily and securely from any location. Partners access their own extranet site and with it, view, download and approve the material.
Keeping everyone up-to-date is simple since the main page automatically refreshes on a regular basis to highlight newly released information from any site within the organization. Individual sub-departments can create their own intranet pages and the creative approval template enables instant Web-based feedback.
